Job Description

Main Function

The Project Administrator provides administrative, financial, and logistical support to the CBNRM Governance and Responsible Stewardship department. This role involves collaborating closely with various other departments within WWF Namibia to ensure smooth and efficient program and project execution.

Key Responsibilities

  1. Support the management of project budgets and expenditures, ensuring compliance with quarterly and annual workplans.
  2. Support all logistical arrangements for workshops, trainings, conferences, and other events.
  3. Assist in the monitoring and tracking of budgets, expenditures, and technical progress.
  4. Assist in preparing regular progress updates, as well as quarterly technical and financial reports.
  5. Assist with the procurement of goods and services in accordance with donor and/or WWF procurement policies and standards.
  6. Procure needed office supplies and manage the distribution of acquired office and project supplies.
  7. Manage and maintain assets, prepare inventory, and ensure proper asset control.
  8. Assist in drafting and updating Planning, Monitoring, Evaluation, and Learning (PMEL) plans for projects and interventions.
  9. Perform other duties as assigned to support the achievement of outcomes within the framework of WWF’s mainstreamed and matrixed teamwork approach.
  10. Support the Country Director on various tasks, including serving as Secretary to the Senior Management Team (SMT) by preparing agendas, recording minutes, and ensuring follow-up on action items.

Qualifications

Education and Experience

  • Diploma in Business Administration, Office Management, Project Management or related field.
  • At least three (3) years of relevant experience.
  • A valid driver’s license.

Skills and Abilities

  • Strong communication and interpersonal skills
  • Advanced computer literacy with strong proficiency in Microsoft Office Suite.
  • Proficiency in project management tools.
  • Excellent organizational and time management skills with a strong attention to detail.
  • Ability to multitask effectively and efficiently.
  • Ability to work independently and collaboratively in a multidisciplinary team.
  • Willingness and ability to travel extensively to remote rural areas.
  • High level of independence, self-motivation, and a strong commitment to driving positive change.
