Primary purpose of position:
To supervise all daily operations of the digital services section, monitoring all processes flows to completion in accordance to the SLA, identifying and implementing corrective steps where required, and providing guidance and directives to immediate subordinates to ensure that production targets are always met.
Additionally, the role will also involve aiding with administrative HR issues of staff members, managing invoicing for digital mail clients, exploring new business initiatives for digital printing, and supporting day-to-day operations, including achieving and backing up of completed jobs.
Key Performance Areas :
Supervise Digital Mail Operations
- Implement and monitor control procedures and systems design at the digital mail section
- Identify issues requiring change/amendments and communicate these to the immediate superior, recommending relevant action steps.
- Regularly monitor all aspects relating to the physical security of the building and implement approved access control procedures.
- Perform regular spot checks to ensure that correct procedures are applied and train staff members in all relevant procedures and controls
- Monitor the implementation of all confidentiality procedures for digital mail and other entrusted information.
Administrative HR Support
- Aid with administrative HR issues of staff members, including onboarding, training, and performance management.
Invoicing and Financial Management
- Manage invoicing for digital mail clients, ensuring accuracy and timely billing.
- Create sales orders based on job cards and prepare invoice summary sheets for finance.
Business Development
- Look for new business initiatives for digital printing to enhance service offerings and client satisfaction.
Operational Support
- Support day-to-day operations by achieving and backing up jobs, ensuring seamless workflow and service delivery.
- Ensure compliance with all relevant occupational health and safety requirements.
Educational and experience requirements:
- Grade 12 with diploma in Business Management with an understanding of process flow management or diploma in Information Technology.
- Experience requirements: 3 years proven experience as a supervisor in the printing and or process flow management.
- Basic knowledge of SAP is an added advantage.
- Understanding of quality control procedures and relevant legal standards.
- Excellent communication, leadership, and problem-solving skills.
- Ability to coach and mentor employees.

- Sound technical and mechanical understanding and aptitude.
- Strong interpersonal and supervisory skills, with the ability to function effectively under pressure.
